The Planning and Development department guides this growth through our development planning, long range and regional planning, and safety codes service areas. We are a collaborative, curious, and purpose‑driven team committed to problem‑solving and community building. We are seeking a Permit Services Coordinator to join our team on a 2-Year term.
This position is at the heart of the development action and is a key point of contact for residents, builders, developers, and the general public, helping to coordinate the over 1000 annual development and building permits that the city receives.
As a Permit Services Coordinator, you are responsible for a wide variety of administrative duties in support of the Planning and Development Department including: providing assistance to builders, developers, residents and the general public for development related inquiries; reviewing applications to ensure they are accurate and complete; managing the financial side of permit issuance by calculating fees, accepting payments, and applying appropriate coding; entering data into and running reports from the City’s permit system; compiling monthly and yearly statistical reports; and providing assistance to other departmental staff as directed. With high work volumes during peak construction and winter seasons, your ability to stay organized, be detail orientated, and adapt to changing priorities is essential. Ultimately, your work ensures that development and construction activity is well-coordinated and that our collaborators receive timely, professional service.

What YOU’RE Responsible for:
- Providing initial contact for inquiries and information on land development applications, permit processes, and land use regulations to contractors, builders, developers, residents, and the general public.
- Gathering, disseminating, and reviewing information for land development matters for Planning staff by receiving development permit applications, ensuring the applications are complete and if necessary, obtaining the required information.
- Processing all permit fees and balancing the cash drawer daily.
- Keeping accurate records and generating monthly and yearly statistical reports.
- Administering the permit tracking system, including updating the system when new procedures are implemented or existing procedures are modified, creating and running reports from the system, and ensuring functional integration with other City software and systems.
- Assisting the Planning team with other administrative duties such as scheduling appointments, preparing letters, mail-outs, updating department brochures and the applicable website pages.
- Two years of post-secondary education, preferably in Business/Public Administration/Planning or a related field.
- Two years of office experience, preferably in a municipal environment.
- Excellent communication and interpersonal skills with the ability to deal with co-workers and the public in a positive, facilitative, and pleasant manner.
- Superior organizational and time management skills to multi-task effectively in a high-volume, deadline driven environment.
- Strong attention to detail and accuracy.
- Skilled in using MS Office or similar, including Excel and Word. Familiarity and experience with other software such as GIS or Adobe.
- Familiarity with Development permit processes, construction terms, stages, and Land Use Bylaws.
- A 2-year Term position with a salary range of $57,803.20 - $75,439.00 per annum (based on experience and qualifications).
